Our Approach

BJJ Base is built with a simple principle: collect only what’s needed, delete what isn’t. We don’t sell your data, we don’t use it for advertising, and we actively minimize what we store. Your training journal is yours.

Introduction

BJJ Base (“we”, “our”, or “us”) operates the BJJ Base mobile application (the “App”). This Privacy Policy explains how we collect, use, and protect your information when you use our App.

By using BJJ Base, you agree to the collection and use of information in accordance with this policy.

Information We Collect

Account Information

When you create an account, we collect:

• Email address — for authentication and account recovery
• Display name — shown within the App
• Authentication credentials — securely hashed, never stored in plain text

Training Data

When you use the App, we store the training data you create:

• Training sessions — date, duration, notes, and session details
• Techniques — techniques extracted from your sessions and entries you add manually
• Gameplans — technique sequences you create and organize

Voice Recordings

When you use the voice logging feature:

• Audio is uploaded temporarily for transcription only
• Raw audio is deleted after processing — typically within minutes, always within 24 hours
• Only the text transcript and extracted techniques are kept
• Audio is sent to OpenAI for transcription and is not used for AI training

This means we never hold on to your voice recordings. Once we’ve extracted the useful information, the audio is gone.

Usage Data

We automatically collect limited data to keep the App running well:

• Analytics — anonymized app usage patterns to help us improve features
• Error reports — crash logs to help us fix bugs
• Device information — device type, OS version, and app version

How We Use Your Information

We use the information we collect to:

• Provide and maintain the App
• Process voice recordings into text and extract techniques
• Generate insights about your training patterns
• Improve the App’s features and user experience
• Send transactional emails (account verification, password resets)
• Monitor and fix errors

Data Storage and Security

Your data is stored on secure cloud infrastructure with encryption in transit and at rest. Authentication credentials are securely hashed — we never store your password in plain text.

Third-Party Services

We use the following categories of third-party services to operate the App:

• Cloud hosting & storage — Privacy Policy
• AI transcription (OpenAI) — voice recordings are sent to OpenAI for transcription. They are processed and not retained for training. OpenAI Privacy Policy
• Subscription management — processes subscriptions through Apple App Store and Google Play. Privacy Policy
• Analytics — collects anonymized usage data. Privacy Policy
• Error monitoring — collects crash and error data. Privacy Policy
• Email delivery — sends account-related emails. Privacy Policy

Data Retention

We retain your data for as long as your account is active. When you delete your account, we will delete your personal data within 30 days, except where we are required to retain it by law.

Voice recordings are deleted immediately after processing, as described above.

Your Rights

All Users

You have the right to:

• Access your personal data stored in the App
• Correct inaccurate personal data
• Delete your account and associated data
• Export your training data

European Economic Area (GDPR)

If you are in the EEA, you additionally have the right to:

• Restrict processing of your personal data
• Data portability — receive your data in a structured, machine-readable format
• Object to processing of your personal data
• Withdraw consent at any time where processing is based on consent
• Lodge a complaint with your local supervisory authority

Our legal basis for processing your data is:

• Contract performance — to provide you with the App’s services
• Legitimate interests — to improve the App and fix issues
• Consent — for optional features like voice recording and analytics

California Residents (CCPA)

If you are a California resident, you have the right to:

• Know what personal information we collect, use, and disclose
• Delete your personal information
• Opt-out of the sale of personal information — we do not sell your personal information
• Non-discrimination — we will not discriminate against you for exercising your rights

Children’s Privacy

BJJ Base is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal data from a child under 13, we will take steps to delete that information.

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the “Last updated” date.
